Cadlinc Infotech (“we”, “us”, “our”) provides IT and CCTV services to homes and businesses in Bangalore, India. This policy explains what personal data we collect, why we collect it, how long we keep it, and the rights you have over it.

This policy is written to meet our obligations under India’s Digital Personal Data Protection Act, 2023.

What we collect

When you contact us or become a customer:

  • Name, company name, phone numbers, email address
  • Service address and location details
  • The nature of your enquiry or service requirement

When you message us on WhatsApp:

  • Your WhatsApp phone number and profile name
  • The content of messages you send us, including photographs, documents, voice notes and videos
  • Delivery and read status of messages we send you

When we carry out work for you:

  • Records of service visits, repairs, diagnoses and parts supplied
  • Photographs taken at your site to document work carried out
  • Quotations, invoices, payment records and GST details
  • Annual maintenance contract and rental agreement details

Automatically, when you visit our website:

  • Standard technical information such as IP address and browser type, through server logs and cookies

What we do not collect

We do not have remote access to your CCTV footage. We install, configure and maintain camera systems, but we do not view, record, copy or store footage from customer cameras remotely. Any footage remains on your own recording equipment and under your control.

Where a repair requires us to handle a recording device physically, we access only what is necessary to complete the work, and we do not retain copies.

Why we use your data

  • To respond to enquiries and prepare quotations
  • To schedule and carry out service visits
  • To supply, install and maintain equipment
  • To issue invoices and meet our GST obligations
  • To provide warranty support and follow-up technical assistance
  • To maintain a service history so that future repairs can be handled properly
  • To send you service-related messages such as visit reminders, quotations and invoices

We rely on your consent, and on the necessity of processing to perform the services you have asked us to provide.

Marketing messages

If we send you promotional messages on WhatsApp, we do so only where you have agreed to receive them. You can opt out at any time by replying to ask us to stop, or by contacting us using the details below. Opting out of marketing does not affect service messages relating to work we are carrying out for you.

Who else handles your data

We do not sell your personal data, and we do not share it with third parties for their own purposes.

We do use the following service providers, who process data on our behalf in order to run our business:

  • Meta Platforms (WhatsApp Business Platform) – delivering and receiving WhatsApp messages
  • Hostinger – hosting our business systems and storing our records
  • Google – address lookup and mapping; online advertising
  • Zoho – sending business email
  • Anthropic – assisting with drafting and analysis within our internal systems

Messages you send us on WhatsApp pass through Meta’s systems and are subject to WhatsApp’s own privacy terms in addition to this policy.

We may also disclose data where we are required to by law, or to a professional adviser such as our accountant where necessary.

Where your data is stored

Our business records are stored on servers operated by our hosting provider. Some of our service providers, including Meta and Google, operate infrastructure outside India, so your data may be processed outside India by those providers.

How long we keep it

  • Records connected to invoices, GST and payments: eight years from the end of the relevant financial year, in line with statutory record-keeping requirements.
  • Other records, including WhatsApp conversations, site photographs and service notes: three years from your last service interaction with us.
  • Active customers: we retain your records for as long as you remain a customer, and apply the periods above from the date of your last interaction.

We delete or anonymise data once these periods end, unless we are required to keep it longer by law.

Keeping your data secure

We restrict access to customer records to staff who need it for their work, and access is controlled by individual user accounts with defined permissions. Our systems are accessed over encrypted connections, and we take regular backups.

No system can be guaranteed completely secure, but we take reasonable steps to protect your information and to limit who within our business can see it.

Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

  • Ask what personal data we hold about you and why
  • Ask us to correct data that is inaccurate, incomplete or out of date
  • Ask us to erase your data, where we are not required to keep it
  • Withdraw consent you have previously given
  • Nominate another person to exercise these rights on your behalf in the event of your death or incapacity
  • Raise a grievance with us, and escalate to the Data Protection Board of India if you are not satisfied with our response

To exercise any of these rights, contact us using the details below. We will respond as promptly as we reasonably can.

Children

Our services are directed at adults and at businesses. We do not knowingly collect personal data from children. If you believe we hold data about a child, please contact us and we will delete it.

Cookies

Our website uses cookies for basic functionality and to understand how the site is used. You can control cookies through your browser settings. Disabling them may affect how parts of the site work.
